Group Bookings

TERMS & CONDITIONS

Group definition – 10 or more full paying guests.

1. CONFIRMING BOOKINGS
1.1. All bookings are held in good faith to the arrival and departure date listed in the reservation, at the rate specified.
1.2. To confirm reservations, either current valid credit card details or a cash deposit equal to 50% of the first night’s accommodation is required. A further 50% is required 1 month prior to arrival date.
1.3. Should a cancellation occur less than one (1) month prior to arrival, 50% of the deposit is non- refundable.
1.4. Group payments may be made by EFT, Visa or Mastercard.
1.5. Full payment must be received 7 days prior to arrival.
1.6. If deposit or final payment is not received by the due date, the Aviators Lodge Motel reserves the right to cancel the booking.


2. CANCELLATION
2.1. Cancellations made more than one (1) month prior to arrival will not incur any charges.
2.2. If a cash deposit has been paid it will be fully refunded.
2.3. Cancellations made less than one (1) month prior to arrival
2.4. Should the accommodation be resold in full or in part, cancellation fees will be refunded in full or pro rata less a 5% handling fee.

2.7. All reservation amendments re cancellations are valid only if made in writing and the onus    of proving delivery to Aviators Lodge Motel of such amendments or cancellations will be on the party relying thereon.
2.8. For bookings made inside 30 days prior to check-in, full payments is required at time of booking via credit card.
2.9. If bookings are made less than 1 month prior to arrival 100% of the first night’s accommodation must be paid to confirm the reservation.
2.10. Reservations cancelled, or altered at the commencement of or during stay do not qualify for any refund and the monies paid will be forfeited by the guest. Non-arrivals or guests who fail to notify of cancellations will forfeit the monies paid.

3. AMENDMENTS
3.1. All amendments to dates and room types are subject to availability and rate at the time of amending your reservation.

4. SECURITY BOND
4.1. Bond payable will be equivalent to ONE nights’ accommodation for each room.
4.2. Charges will apply if any of Aviators Lodge Motels’ property or fixtures are damaged by any person/s within your group.
4.3. Charges will apply for loss of keys ($200/key).
4.4. Charges will apply for additional cleaning costs if required due to disorderly state of rooms.
4.5. Charges will apply if there are outstanding monies owed.
4.6. Should your group violate any of the above, the bond will be used to cover expenses according to Aviators Lodge Motel Managements discretion.

5. FEES AND CHARGES
5.1. Entry into Motel rooms is conditional upon a signed guest registration form.
5.2. Due to fire regulations, Management must be aware of the number of guests in all rooms.
5.3. All room rates are for 1, 2, 3 or 4 guests, a $20 charge will be applied to any extra guests.
5.4. The cost of meals for extra guests is also the responsibility of the person signing the guest registration form.
5.5. If in the course of a guests stay, and contributable  to any guests or visitors of that room, any unforeseen expenses that become apparent, the signing guests credit card will be charged an amount, appropriate to the expense, at a rate determined by the Aviators Lodge Motel. In the case of a bond, the bond funds will be held in reserve until such time that all costs associated with the said expenses are recovered including any legal fees incurred. Any remaining money will be refunded to the guests

6. FEES CHARGEABLE TO GUESTS ACCOUNT INCLUDE, AND ARE NOT LIMITED TO:
6.1. Smoking in rooms - $200.00 cleaning fee will be charged
6.2. Lost or stolen keys will incur a $200 fee. Attempts will be made to contact the guest who will be given the opportunity to return keys taken. Failure to do so will result in the fee being charged to their credit card or bond.
6.3. Room degradation (such as vomit, bodily wastes) a $200 cleaning fee will be charged, plus any professional floor cleaning charges at cost, plus a daily room tariff equal to the daily tariff that we would charge if the room was available to be let or any other rate that may be agreed to by the management, in accordance with business demand on the day, until the said room has been returned to its saleable condition.
6.4. Cost of repair or replacement for general damage or theft of Motel property and any problem sufficient to result in a room being withdrawn from its availability to be let. In extreme cases, criminal charges will be pursued.
6.5. Cost of meals, drinks (alcoholic and non alcoholic), snacks.

7. ROOMING LIST
7.1. A complete rooming list for your group must be provided 7 days prior to arrival.

8. ROOM KEYS
8.1. One key will be issued to each room. Should a second key be required, it is available from reception. A key check will occur upon the groups check out and charges will apply if keys are missing/lost ($200/key).

9. CHECK-IN AND CHECK-OUT
9.1. Standard check- in time is 2.00pm.
9.2. Standard check- out time is 10.00am
9.3. For guaranteed arrival prior to 2pm, a room must be reserved from the previous night and therefore includes an additional nightly charge.
9.4. Late check-out up to 11.00 am is at the discretion of the Motel manager and must be requested the night before check out.  Late check out after 11.00am will incur the full rate of one (1) nights’ accommodation.

10. PARTY POLICY
10.1. Zero tolerance party policy.
10.2. In the interest of quiet enjoyment and respect for all guests at the motel, a no party policy applies to all guests     staying at the property. Guests are expected to be respectful of other guests at all times, and to be quiet between 10pm-7am. No group congregations in individual guest rooms is permitted or tolerated. Immediate eviction with no refund applies to any breaches of this policy.

11. SMOKING
11.1. All rooms are non-smoking
11.2. Penalties will be charged to guests who smoke in rooms

12. COOKING
12.1. Cooking in guest rooms is strictly forbidden by Health Authorities with the exception of the use of the kettle (if applicable).
12.3. Fees for additional cleaning may apply should guest cook inside a guest room.

13. PETS
13.1. With the exception of Sight and Hearing assistance dogs, ALL pets are strictly forbidden inside guest rooms. Any guests breaching this rule will face immediate eviction and a $200 cleaning fee for carpet and any soft furnishing effected.
13.2. Pets in vehicles/trailers may only be permitted by prior specific arrangement.
13.3. Show Dogs will only be permitted by prior specific arrangement. A maximum of two (2) dogs will be permitted for any
one booking. Guests with more than two dogs (other then those in a purpose built dog trailer) will not be permitted to park on the Motel grounds. Barking dogs will not be tolerated and will result in guests and their dogs being evicted from the motel, with no refund of monies.

By signing our guest registration form, you agree that your access to and use of the motel is subject to these terms and conditions
